The Solution

YData Solutions implemented a three-phase database fidelity and system alignment process designed to strengthen both infrastructure and staff practice:

Phase 1 – Comprehensive System & Data Audit: Conducted a full review of ChildPlus system setup, including custom fields, module configuration, and report settings, to ensure alignment with agency policies and Head Start requirements. Pulled key ChildPlus reports (2013, 2111, 2135, 3015, 3065, 4002, etc.) to cross-check health, ERSEA, and family engagement data for accuracy, timeliness, and compliance. Identified missing follow-up fields, misaligned configurations, and inconsistent records that prevented staff from capturing required documentation.
Phase 2 – Corrective Action & Fidelity Coaching: Designed a custom action plan aligned with Head Start Performance Standards (1302.16, 1302.42, 1302.50). Reconfigured ChildPlus modules and workflows to align with agency policies and ensure follow-ups could be documented consistently. Trained staff on accurate data entry, report interpretation, and goal-setting documentation. Created easy-to-follow fidelity checklists for managers to monitor compliance and staff performance.
Phase 3 – Monitoring Readiness Simulation: Conducted a mock FA2 review using the same data queries OHS reviewers use. Prepared staff with evidence binders, data narratives, and corrective documentation. Ensured ChildPlus dashboards and reports could be pulled live during the review.
